What is CallWaiting and how does it work?
CallWaiting gives your business an AI receptionist named Aria that helps answer more calls automatically. Forward your existing business number to your dedicated CallWaiting number, and Aria handles everything - greeting callers, answering questions, booking appointments, and sending a recap SMS after each call. You get a full call log, transcripts, and recordings in your dashboard.
No technical setup required. Most businesses are live in about 15 minutes.
What happens after I sign up?
You go through a 3-step onboarding wizard: Step 1 - Enter your business name, hours, and services. Step 2 - Pick your AI voice (Professional, Friendly, or Neutral). Step 3 - Hit "Launch Aria" and your dedicated phone number is provisioned instantly. Then forward your existing line to your CallWaiting number and you are live.
Do I need to replace my existing business number?
No. You keep your existing number. Set up call forwarding so that when your line is busy or unanswered, calls route to CallWaiting. Aria answers in your business name - callers never know the difference.
What types of businesses use CallWaiting?
Restaurants, salons, medical offices, dental practices, law firms, home services, real estate - any business that receives phone calls and cannot always answer. If your phone rings and you miss calls, CallWaiting is for you.
Can Aria book appointments for my business?
Yes. Aria collects the caller's name, preferred date, time, and service, then logs the booking in your Bookings dashboard. You review and confirm from there.

How do I log in to my dashboard?
Go to callwaiting.ai/login and enter your email and password. You can also sign in with Google. Your session stays active across browser tabs automatically.
I forgot my password. How do I reset it?
On the login page, click "Forgot password?" and enter your email. You will receive a reset link within a few minutes. Check spam if you do not see it. The link expires after 1 hour.
How do I update my business info?
Go to Settings - Business Profile in your dashboard. Update your name, phone, address, hours, or services anytime. Changes take effect immediately - Aria uses the updated info on her next call.
How do I cancel my account?
Go to Settings - Billing - Cancel Subscription anytime. No cancellation fees. Your plan stays active through the end of your billing period. Questions? Email hello@callwaiting.ai.

Call Forwarding Setup

Route your business calls to CallWaiting in minutes.

How do I set up call forwarding?
After your CallWaiting number is provisioned, set up forwarding on your carrier:
  • AT&T / T-Mobile: Dial *61*[CallWaiting number]# (forwards when unanswered)
  • Verizon: My Verizon app - Account - Manage Device - Call Forwarding
  • Google Voice: Settings - Calls - Forward calls
  • VoIP/RingCentral: Settings - Call Handling - Overflow
Your CallWaiting number is shown in Settings - Phone Number.
Use conditional forwarding so your team still answers directly, and Aria only picks up overflow calls.
Conditional vs. unconditional forwarding - what is the difference?
Conditional - calls ring your phone first. If you are busy or do not answer, they route to CallWaiting. Most popular setup.

Unconditional - all calls go directly to CallWaiting. Best for after-hours or when you want Aria to handle everything.
Will callers know they are talking to an AI?
Aria answers in your business name and sounds natural. Per FCC regulations, if a caller directly asks "are you an AI?" - Aria confirms she is. This keeps you designed to support compliance review. See our AI Disclosure policy.

Customize Aria to represent your business perfectly.

How do I customize Aria's name and voice?
Go to Settings - Agent Settings: change the agent name, pick a voice (Professional/Friendly/Neutral), and edit the greeting message. Changes go live on the next call.
How do I train Aria with my business FAQs?
In Settings - Agent Settings - Custom Instructions, add your services, pricing, hours, parking, policies, staff names - anything Aria should know. The more detail, the better she handles real calls.
Tip: Paste your Google Business description into Custom Instructions for a quick start.
What happens when Aria does not know the answer?
Aria tells the caller a team member will follow up and flags the call as high-priority in your dashboard. You get a staff alert so you never miss an important question.
Can Aria only answer after-hours or overflow calls?
Yes - enable Overflow Mode in Settings - Agent Settings. Aria only picks up when your line is busy or unanswered. You can also set business hours so she responds differently after hours.

What SMS messages does CallWaiting send automatically?
Three automated SMS types:
  • Post-call recap - summary sent to caller after every call
  • Booking confirmation - sent when an appointment is requested
  • Missed call follow-up - if call lasts under 8 seconds, a follow-up text goes out so you never lose a lead
All include "Reply STOP to opt out" for compliance.
Does each client get their own phone number?
Yes. Every CallWaiting client gets a dedicated local number in their area code. SMS to your customers comes from that number - a local number they recognize. Replies come back to your dashboard inbox.
Can I turn off SMS messages?
Yes. Go to Settings - Agent Settings and toggle off Post-call SMS, Booking SMS, or Missed-call SMS individually.
Is SMS included in my plan?
SMS is included on the Pro plan ($299/mo). Starter and Standard plans can add SMS as an add-on. See our pricing page.

Are all calls recorded automatically?
Yes. Every call handled by Aria is recorded and transcribed. Recordings appear in your Call Log within 1-2 minutes. You can disable recording in Settings - Agent Settings. All recordings are encrypted at rest (AES-256) and in transit (TLS 1.3).
How do I listen to a recording?
Go to Dashboard - Call Log. Each row shows caller, date, duration, and AI summary. Click the play button in the Recording column to listen inline. Click any row to expand the full transcript.
How long are recordings stored?
  • Starter & Standard: 90 days
  • Pro: 1 year
  • Enterprise: Custom retention available

What counts as a call toward my monthly limit?
Every inbound call answered by Aria counts as one call regardless of duration. Web demo calls, spam filtered before Aria answers, and outbound calls do not count. You get alerts at 80% and 100% of your limit.
What happens if I go over my call limit?
Additional calls are billed at overage rates: $0.15/call (Starter), $0.12/call (Standard), $0.10/call (Pro). Upgrade your plan anytime from Settings - Billing to avoid overage.
How do I upgrade, downgrade, or cancel?
Go to Settings - Billing anytime. Upgrades are instant and prorated. Downgrades apply at next billing cycle. Cancellations keep your plan active through the current period - no fees.
Where do I find my invoices?
All invoices are in Settings - Billing - Billing History. Download PDFs for any past payment. Invoices are also emailed to your account address on each billing date.

Do I need a credit card for the free trial?
No credit card required. Sign up and get 3 full days of Standard plan access. After 3 days, choose to subscribe or your account is paused. No charges ever happen without your explicit action.
What is included in the free trial?
Full Standard plan features: AI receptionist with your business name, dedicated phone number, call log, transcripts, recordings, bookings dashboard, and up to 50 calls. Enough to test with real callers before committing.
Can I extend my trial?
Submit a support ticket and choose Billing or plan. We will review extension requests. We want you to have enough time to properly evaluate CallWaiting for your business.

How CallWaiting protects your data and stays compliant.

Is CallWaiting privacy-conscious?
Yes. CallWaiting is fully privacy-conscious. We have a signed compliance review and DPA with our AI voice infrastructure provider. All call data, recordings, and transcripts are encrypted at rest (AES-256) and in transit (TLS 1.3). Medical offices, dental practices, and healthcare providers can use CallWaiting with full confidence.
Can I get a compliance review available for my practice?
Yes. compliance reviews are available for all Pro plan and Enterprise customers. Email hello@callwaiting.ai with your business name and we will send a signed compliance review within 1 business day.
Where is my call data stored?
All call data, transcripts, and recordings are stored on US-based servers. No personal call data leaves the US. Encrypted at rest (AES-256) and in transit (TLS 1.3). See our Security page.
Does CallWaiting sell or share my data?
No. CallWaiting never sells, rents, or shares your business data or call records with any third party for commercial purposes. See our Privacy Policy.
Troubleshoot

Aria is not answering calls - what do I check?
Check in order:
  • Is call forwarding active? Test by calling your business number from another phone
  • Is your agent status "Active" in Settings?
  • Did your trial expire? Subscribe to reactivate
  • Still broken? Email hello@callwaiting.ai - we will fix it within hours
Aria is saying the wrong business name or info.
Go to Settings - Agent Settings - Custom Instructions and update your business details. Save and allow 1-2 minutes. If it persists, email hello@callwaiting.ai - we can reprovision your agent directly.
SMS messages are not being sent.
SMS is only on the Pro plan. If you are on Pro, check Settings - Agent Settings - Post-call SMS toggle is on. If still not sending, email hello@callwaiting.ai with your account email and the call ID.
Recordings or transcripts are missing.
Recordings appear within 1-2 minutes of a call ending. If still missing after 5 minutes, check Settings to confirm recording is enabled. For persistent issues, email hello@callwaiting.ai with the call date and approximate time.
I cannot log in to my dashboard.
Try "Forgot password?" on the login page. If still stuck, email hello@callwaiting.ai from your registered email with the subject "Account Access" - we resolve it within a few hours.
